Creative Time

 
Creative Time seeks a highly organized, self-motivated, caring team player to be our next Operations and Finance Manager. This role is ideal for someone who enjoys creative problem solving, and developing, adapting, and improving systems for increased effectiveness. The Operations and Finance Manager is a critical facilitator of the daily function of our busy team of producers, curators, and arts administrators, while keeping our public-facing spaces ready and useful to artists, guests, and partners working with us in a highly collaborative environment. A tech-fluent creative thinker who loves efficiency, and working with calculations and spreadsheets, while making people feel cared for and empowered to do good work in the name of cultural production and compelling public art will thrive in this role.
 
This position reports to and collaborates regularly with the Deputy Director and serves as an integral part of the executive team (Executive Director, Deputy Director, Executive Assistant). They will also support and work closely with everyone on the Creative Time team.
 
Responsibilities of the Operations and Finance Manager
Financial Administration:
Basic bookkeeping, account tracking, and cash analysis duties
Manage organizational accounts payable and receivables; process payments and reconcile bank and credit card statements
Payroll and Benefits administration
Design and prepare statements and financial reports for grants, budget analysis, and board meetings
Prepare for fieldwork and track progress for annual audit
 
HR Administration:
Onboard employees and maintain files and documentation throughout employment
Ensure organization labor compliance and administration of insurance and statutory benefits
Create and maintain employee records, handbooks, and staff guides
Lead internship program and maintain overarching learning & development framework
Organize staff events and activities in collaboration with various team members
 
Operations:
Manage materials, equipment, technology, and administrative tools for office
Prepare and review legal agreements, serve as liaison with organization’s legal team
Procure relevant COIs and ensure insurance minimums are in place for initiatives
Manage and maintain organizational calendars, internal trackers, and public events website
Lead technology administration, server, computer hardware, software maintenance
Prepare Run of Show documents and material checklists for events as needed
Maintain office archives and documentation
Set up technology and RSVP management for attendees
Maintain library catalog and inventory tracking
 
Critical skills for this role
You’ll need experience with Quickbooks or similar software, reimbursement systems, and a thorough knowledge of Google Suite. You should have a minimum of 3 years of focused work experience in a similar capacity, managing office administration, budgets, and systems. You possess discretion, excellent communication skills, and have a personal investment in the history of Creative Time and the evolving role of public art. You’ve been described as observant, analytical, and thorough, and want to contribute to the development of a sustainable, resourced organization. A sense of humor, a passion for creativity, and a can-do attitude will go a long way.
 
Salary: $68,000+, commensurate with experience
