Project Manager

If you are someone who adapts easily from being hands-on with artists and curators to tracking milestones, bills, and supplies with contractors, the Project Manager job opening might be for you.
 
Creative Time, New York City’s veteran and vanguard public arts presenter, seeks a full-time
Project Manager to produce, manage, and coordinate a variety of complex, temporary, site-specific art installations and programming across the city, the country, and sometimes, the world.
 
The Project Manager will work closely with artists, vendors, suppliers, partners, and other team members to usher projects from broad research to production and installation. The candidate must be extremely organized, self-directed, and have exceptional follow-through skills. Additionally, they will need to be a good listener and bring a sense of control and calm to the fast-paced organization while managing multi-faceted projects. An approachable, collaborative, process-oriented demeanor and the ability to enjoy a good laugh are also necessary.
 
The Project Manager typically works on 1-3 projects simultaneously, each at different stages of the production cycle. The nature of the work requires a deep involvement and ownership of all the details and considerations needed in order to realize these projects.
 
The Project Manager reports to the Head of Programming and works collaboratively with all
members of the team, including communications and curatorial. Some of the
candidate’s responsibilities will include:
 
Artist Liaison:
● Work with artists, vendors, and partners to support and coordinate artist commissions,
large-scale temporary exhibitions, live events, organization initiatives and public programs
● Develop or procure schematics and mock-ups to support the ideas put forth by artists
● Identify resources, advisors, and consultants that further the concept and project’s development
● Research and investigate various subjects and topics, prepare summaries and resource
toolkits around topics and materials of interest
Provide status updates to artist’s team and collaborators during project life cycle
 
Production Management:
● Manage multiple timelines and/or projects simultaneously, with a passion for tracking
deliverables and projecting expenses with fine attention to detail
● Draft contracts, waivers, procure COIs, and prepare permit applications
● Collaborate with fabricators, experts, and vendors to negotiate competitive estimates and
source fabrication materials based on well-rounded research
● Develop project budgets in collaboration with the Head of Programming providing financial scenarios and recommendations during the project lifecycle
● Track and manage project expenses while maintaining a keen understanding of all fees and
expenses; Anticipate and be able to confidently speak to the financial implications of
various scenarios/decisions
● Communicate consistently to colleagues across the organization’s departments as well as
across project-specific teams
● Successfully recruit and on-board contractors for production support and some part-time
employees, as necessary
 
Site Management for Projects:
● Support site development through research and scouting and development of minimum site
requirements
● Develop on-site maintenance, security, and management plans
● Create installation schedules, staffing plans, ROS documents, project checklists, health and safety procedures, and job-descriptions that allow projects to run smoothly
● Manage crews, temporary staff, and volunteers— expected to be the main point of contact for project sites, often working with new people for short periods of time
Serve as onsite production lead, including install, guest services, staff training, and de-install.
 
The ideal candidate will have the following:
● 3-5 years of experience with project management, exhibition management, and/or art/object
production and fabrication.
● Proven experience managing budgets and timelines, people and teams, and project management documents with attention
● Comfort reading, interpreting and annotating architectural plans and maps
● Exceptional research and information synthesizing skills
● An understanding of and interest in socially-engaged, public art projects
● Proficiency in Google Suite and Microsoft Office Suite (Word, Excel, PowerPoint)
● Knowledge of Google Sketch-up, CAD, and Adobe Creative Suite is a plus
● Ability to travel for work, as needed and work flexible hours—including evenings and occasional weekends
 

Salary:
$60,000-$65,000 based on qualifications and experience.
This is a full time, non-exempt, permanent position. Medical, Dental, and Vision insurance, a 403B plan, and paid time off are included in a comprehensive employee benefits package.

The Leonhardt Cassullo Video Fellowship is central to Creative Time’s communication and programming efforts, helping us document our over forty-year history, and allowing Creative Time’s ephemeral, public artworks to be experienced by audiences beyond those that can see in person.
